Exhibitor management

Five hundred exhibitors.
One list that is true.

Stop emailing spreadsheets. Exhibitors work through their own portal; you get one queue showing who has submitted what, who has ordered what, who has been invoiced, and who has not opened a single reminder you have sent.

The problem it solves

There is no single view of which exhibitor has completed what, opened which link, paid which invoice, or ordered which products.

Organisers running 50 to 500 exhibitors live in fragmented workflows: emailing spreadsheets, chasing responses, sending invoices as attachments with no visibility into whether they were opened, and re-entering the same data across three systems. This module exists to collapse that into one queue.

Forms

Assign what each exhibitor actually needs.

A food vendor does not need the drone permit. A sponsor does not need the freight manifest. The connector system assigns forms per exhibitor — in bulk, or one at a time — so nobody fills in paperwork that does not apply to them.

Twenty-two templates, ready to go

Company bio, logos, insurance, vehicle registration, fascia sign, power, stage time, accreditation, booth specs, WHS, freight, catering, WiFi, sponsorship activation, product display, accessibility, marketing materials, drone approval, waste, signage, AV and post-event survey.

Or build your own

Drag-and-drop builder with thirteen field types — text, long text, email, phone, URL, number, date, select, radio, checkbox, file upload, rating and named responsible-person sign-off — with live preview and per-event deadlines.

Ordering

Stand orders without the email thread.

Upload your product catalogue as a CSV once per event. Exhibitors browse it in their portal, build an order and submit. You review, approve and invoice from the same screen — no back-and-forth about whether the trestle tables were confirmed.

  • CSV catalogue per event. Different halls, different suppliers, different price lists — each event carries its own.
  • Live order summary. Exhibitors see the running total in AUD as they build, so there are no surprises at invoice time.
  • Supplier visibility. Suppliers get their own view of what has been ordered against them, without seeing the rest of your floor.
  • Invoice tracking. Attach the Xero PDF, set the due date, mark it paid. Overdue invoices surface next to overdue forms.

Chasing

Know who opened it.

Every portal link, reminder and invoice email goes out as a tracked short link. The analytics dashboard shows opens per exhibitor, per link, over time — which turns "we never got that email" into a conversation about the actual problem.

Per-exhibitor click data

Opens attributed to the exhibitor, not to an anonymous campaign total. You can see the one company that has never clicked anything.

Configurable reminders

Set the schedule per event — 14 days, 7 days, 1 day before a deadline. Configure once, then leave it alone.

Overdue alerts

When a deadline passes with nothing submitted, the organiser is notified automatically. Nobody has to remember to check.

And the thing exhibitors actually rebook for

Paperwork is what you need from them. Pipeline is what they need from you. Lead capture gives every stand a scanning app and its own lead console — hot, warm or cold with a note attached — so at renewal the conversation is about leads generated rather than stand cost.

Licensed per exhibitor as an add-on. Many organisers resell it inside a stand package.
